Why Fonts Go Missing in Shared Presentations

When you share a PPTX or KEY file, the recipient's computer may not have the same fonts installed. PowerPoint and Keynote substitute missing fonts with a fallback, changing your presentation's appearance. Google-licensed fonts, Adobe Fonts, and purchased typefaces are the most common culprits.

Fix 1: Embed Fonts in PowerPoint (PPTX)

File → Save As → Tools (Windows) / Options (Mac) → Save Options → Embed fonts in the file. This increases file size but ensures correct display on any computer. Choose "Embed only the characters used" to minimise size.

Fix 2: Install the Missing Fonts

Ask the sender which fonts were used. If they are free Google Fonts, install them from fonts.google.com. If they are commercial fonts (Adobe Fonts, Monotype), purchase or license them.

Fix 3: Use a Font Replacement Tool

In PowerPoint: Home → Replace → Replace Fonts. Replace the missing font with one you have installed, keeping the layout as close as possible.

Fix 4: Convert to PDF for Delivery

If you only need to present (not edit), export to PDF: File → Export → PDF. The PDF embeds all font data, ensuring identical appearance on any device.

Fix 5: Export to Google Slides

Upload the PPTX to Google Slides. Google Slides substitutes missing fonts with web-safe alternatives and the layout usually remains intact for standard fonts.

Fix 6: Use Only Web-Safe or System Fonts

For shared presentations, use system fonts (Arial, Calibri, Times New Roman, Helvetica) or Google Fonts that the recipient can install for free. Avoid paid typefaces unless all recipients have licenses.

Prevention

Always embed fonts when sharing PowerPoint files externally. For Keynote, export to PPTX with embedded fonts, or export to PDF for presentations where editing is not required.
