How to Compress a PowerPoint File (Reduce PPTX Size)

Large PowerPoint files are usually caused by high-resolution images, embedded videos, or audio files. Here are the most effective ways to make a PPTX smaller.

Method 1: Compress Images in PowerPoint

PowerPoint has a built-in image compression tool:

  1. Click any image in your presentation
  2. In the Picture Format ribbon, click Compress Pictures
  3. Select Apply to All Pictures in This File
  4. Choose resolution:
    • Email (96 ppi) — smallest, for email distribution
    • Web (150 ppi) — good balance for on-screen viewing
    • Print (220 ppi) — for presentations projected or printed
  5. Check Delete cropped areas of pictures — removes invisible image data
  6. Click OK

Method 2: Remove Embedded Fonts

Embedded fonts increase file size significantly. If your fonts are common (Calibri, Arial, Times New Roman), remove them:

  • File → Options → Save
  • Uncheck "Embed fonts in the file"
  • Save the file

Method 3: Remove Unused Masters and Layouts

Unused slide masters accumulate when copying slides from other presentations:

  1. View → Slide Master
  2. Right-click any unused master → Delete Master
  3. Exit Slide Master view → save

Method 4: Use "Save as" Instead of "Save"

Sometimes the PPTX accumulates undo history and version data. Save a clean copy: File → Save As → choose a new name → save. The new file is often significantly smaller.

Method 5: Convert to PDF (Delivery Only)

If you only need to share (not edit) the presentation, export to PDF: File → Export → Create PDF/XPS

PDFs are typically 50–80% smaller than PPTX for the same visual content.
