Converting an Excel spreadsheet to PDF preserves your formatting, formulas results, and layout for recipients who don't have Excel installed. Here are the best methods.
Method 1: Export from Excel Directly (Best Method)
Windows and macOS:
- Open your spreadsheet in Microsoft Excel
- File → Export → Create PDF/XPS (Windows) or File → Save As → choose PDF
- In the options, choose:
- Active sheet — only the current sheet
- Entire Workbook — all sheets as one PDF
- Selection — only selected cells
- Click Publish or Save
Important settings:
- Check "Fit to Page" under Page Layout to ensure columns don't get cut off
- Use Print Preview (Ctrl+P → Print Preview) to check page breaks before exporting
Method 2: Print to PDF
- File → Print (Ctrl+P)
- In the printer dropdown, select "Microsoft Print to PDF" (Windows) or "Save as PDF" (macOS)
- Adjust scaling if columns are being cut off: "Fit All Columns on One Page" under Page Scaling
